What the phone actually costs hotels & resorts
Calls in, calls out
Inbound — calls that come to you
Reservation enquiries
Answers the booking line at any hour, checks availability for the dates and room type, quotes the rate and takes the booking or a firm callback.
Guest requests during the stay
Late checkout, extra towels, wake-up calls, restaurant timings — logged and routed to the right department instead of queueing behind the counter.
Directions and property questions
Airport distance, check-in times, pool and restaurant hours, whether pets are allowed — answered consistently every time.
Outbound — calls it makes for you
Pre-arrival confirmation
Calls before check-in to confirm the arrival time, offer an airport pickup, and catch cancellations early enough to resell the room.
Post-stay feedback
Calls after checkout for a short spoken review, and flags an unhappy guest to the manager before it becomes a public rating.
Win back direct bookings
Follows up enquiries that never converted, with a direct-booking offer instead of letting them default to an OTA.
Inbound: a booking enquiry at 2am local time
Hello, I want to check rooms for the 14th to the 16th.
Of course. For the 14th to the 16th — how many guests will be staying?
Two adults and one child.
We have deluxe rooms available for those dates, and a sea-view room on both nights. Would you like the rate for each?
Yes please.
I will read both out, and I can hold whichever you prefer under your name for the next twenty-four hours.
A call that would otherwise have gone to voicemail — and then to an OTA in the morning.
It has to update your systems, not a dashboard
- Your PMS or channel manager for live availability and rates
- Booking confirmation by SMS, WhatsApp or email with a payment link
- Housekeeping and F&B ticketing for in-stay requests
- Manager alert when a post-stay call detects an unhappy guest
We run this engine ourselves.
We build and operate our own products rather than reselling someone else's platform, so the agent can be tuned to your property's room names, packages and policies instead of a generic hospitality script.
60–70% below typical US/UK cost — because we run the engine ourselves.
Hotels & Resorts questions we get asked
Can it quote rates that change daily?
Yes, when connected to your PMS or channel manager it quotes whatever the live rate is. It does not hold a stale price list.
What languages can guests use?
English, Hindi and Malayalam are what we run today, and the stack supports more — we add the languages your guest mix actually needs.
Will it take payment over the phone?
It does not read out or capture card details on the call. It sends a payment link instead, which is both safer and easier to reconcile.
Can it cover only the night shift?
Yes — many properties start with after-hours only, keep the day desk human, and expand once they have heard the recordings.
How do in-stay requests reach housekeeping?
As a ticket in whatever system your team already uses, with the room number, request and timestamp — not as a note someone has to remember to pass on.
Voice agents for other businesses
