What the phone actually costs clinics & hospitals
Calls in, calls out
Inbound — calls that come to you
Answer the front-desk line
Takes appointment calls during and after clinic hours, checks the doctor's availability, and books the slot — without the caller waiting on hold.
Answer routine enquiries
Consulting timings, which doctor sits on which day, department, fees and directions — the questions that occupy the desk all morning.
Escalate anything clinical
Medical questions, emergencies and anything outside its scope are routed to staff immediately. The agent does not give clinical advice.
Outbound — calls it makes for you
Appointment reminders
Calls the day before with the time and doctor, and offers to reschedule rather than simply losing the slot.
Follow-up and review calls
Post-consultation follow-ups, review-visit reminders and check-ins on whether the patient collected reports.
Fill cancelled slots
When a slot frees up, calls the waiting list in order until it is taken.
Inbound: an after-hours appointment call
Hello, is this the dental clinic?
Yes — this is the front desk line for Damas Dental Care. How can I help?
I need to see the doctor for a tooth pain. When is he available?
I can book that for you. Dr Nair consults tomorrow morning from nine, and Thursday evening from five. Which suits you?
Tomorrow morning.
Done — nine-thirty tomorrow with Dr Nair. Can I take the name to put on the booking?
Called at 10:40pm, after the clinic had closed. The alternative was a missed call and a patient who books elsewhere in the morning.
It has to update your systems, not a dashboard
- Your appointment or HIS system — real slot availability, not a callback promise
- SMS or WhatsApp confirmation with the time, doctor and clinic location
- A waiting list the agent can work through when a slot is cancelled
- Daily summary of calls, bookings and unanswered questions for the practice manager
We run this engine ourselves.
The engine is the same one we run on our own products — our own SIP, speech recognition, language model and speech synthesis stack, which is what lets us tune it for a clinic's vocabulary rather than shipping a generic bot.
60–70% below typical US/UK cost — because we run the engine ourselves.
Clinics & Hospitals questions we get asked
Will it give medical advice?
No — and that is a deliberate configuration, not an accident. It handles scheduling, timings, fees and directions. Anything clinical is escalated to your staff.
What about patient privacy?
Recordings, transcripts and patient details stay in the systems you nominate, and we sign an NDA before the project starts. We will scope data handling with you before a single call is made.
Can it handle an emergency call?
It is configured to recognise urgency cues and transfer immediately to a human or your emergency number, rather than continuing with a booking script.
Does it work for a single-doctor clinic or only large hospitals?
Both. A single practice usually starts with one inbound line plus reminder calls; a hospital typically runs several departments with different routing rules.
How does it know which slots are free?
We integrate it with your existing appointment system so it books against real availability. Where there is no system, we can provide a simple slot calendar.
